How to Add Screenshots to Asana, Trello, Notion, Confluence and Zendesk
Updated November 5, 2026 · 9 min read
Screenshots make tasks, cards, docs and tickets far clearer: "the button overlaps the text" means nothing until people see it. Every work app lets you add images, but each does it a little differently, and some situations call for a link instead of an upload. Here's how to do it in five popular tools.
Attachment or link?
| Attach or upload | Paste a link | |
|---|---|---|
| Lives inside the tool | Yes | No, it opens from the link |
| Viewers need an account | Usually | No |
| Same image in many places | Upload it again each time | Paste the same link |
| Storage limits | Counts against your plan | Doesn't |
| Best for | Permanent records, audits | Quick sharing, guests, customers |
To get a link, paste your screenshot on sshot.online. You get a share link for people to click and a direct link for embedding the image (which to use where).
Asana
- Attach: open the task and drag the screenshot onto it, or click the paperclip icon and choose the file. Attachments appear at the bottom of the task.
- In comments: click the attachment icon in the comment box to add an image to a specific comment, so the screenshot sits next to the discussion.
- Link: paste a share link in the task description or a comment. Teammates and guests can open it with one click.
Trello
- Attach: open a card and drag the image onto it, paste it, or click Attachment and upload from your computer.
- Attach a link: the same Attachment menu accepts a URL. Paste the share or direct link.
- Card cover: image attachments can be made the card's cover, which is handy for design and bug boards.
- In the description: Trello descriptions support Markdown, so
shows the image inline.
Notion
- Upload: drag an image onto the page, or type
/imageand choose Upload. - Embed by link: type
/image, choose Embed link and paste a direct image link. This keeps pages light and lets you reuse the same image across pages. - Paste a link: pasting a direct image link on its own line also offers to embed it.
Confluence
- Upload: drag the image into the editor, paste it, or type
/imageand upload a file. - From a link: pasting a direct image link into the editor can show the image inline, depending on your Confluence version and settings. A share link always works as a normal clickable link.
- Tip: for documentation, use consistent window screenshots with the same size and style (how to screenshot one window).
Zendesk
- Attach to a reply: click the paperclip icon in the ticket's reply box, or drag the file in. Customers receive it with the message.
- Inline image: in rich-text replies, use the image button to place the screenshot in the text.
- Send a link: paste a share link when the customer's email client blocks images, or when you want to reuse the same "how to" screenshot across many tickets or macros.
- More support tips: customer support screenshot sharing.
Jira and Linear
Both accept pasted and dragged images in descriptions and comments. For bug reports, include the screenshot and the steps to reproduce, as explained in how to use screenshots for bug reports.
Make your screenshots work harder
- One issue per screenshot, cropped tightly.
- Annotate the important part with an arrow or box (how).
- Say what's wrong in text too, so it's searchable.
- Remove customer data before adding screenshots to shared boards (how).
Paste a screenshot to get a share link for comments and a direct link for embeds in Notion, Trello and Confluence.
Frequently asked questions
How do I add a screenshot to a Trello card?
Open the card and drag the image onto it, paste it, or use the Attachment button. You can also attach a link to an image, and set an image attachment as the card cover.
How do I add an image to Notion with a link?
Type /image in a page, choose Embed link, and paste a direct image link (one ending in .png, .jpg, .gif or .webp). Notion shows the image from that link.
Should I attach screenshots or paste links in tickets?
Attach when the image must stay with the record permanently or the tool is your source of truth. Paste a link when you want the same image in several places, when attachments are restricted, or when customers or guests need to open it without logging in.
Why does my image link show as text instead of an image?
Embeds need the direct image link, not the share page link. Use the link that ends in the file extension, such as .png.
